1. Getting Started - Registration & First Login

Creating Your Clinic Account

To get started with VetSyCare:

  1. Visit vetsycare.com and click "Start Free Trial"
  2. Fill in your personal information (First Name, Last Name, Email, Phone)
  3. Enter your Clinic Name - this will be your practice's identity in the system
  4. Create a secure password (minimum 8 characters with uppercase, lowercase, and numbers)
  5. Click "Create Account"

You'll receive a confirmation email and can immediately access your dashboard. Your free trial gives you full access to all features for 30 days.

First Login & Dashboard Overview

After logging in, you'll see your Dashboard - your command center for daily operations. The dashboard displays:

  • Today's Appointments - Quick view of scheduled visits
  • Pending Tasks - Items requiring attention
  • Recent Activity - Latest actions in your clinic
  • Quick Stats - Patient count, revenue, appointments

3. Managing Clients - The Foundation of Your Practice

Adding a New Client

When a new pet owner visits your clinic:

  1. Navigate to Clients from the top menu or sidebar
  2. Click "+ Add Client" button
  3. Fill in the client information form:
⚠️ VERY IMPORTANT - Email Address:

The client's email address is crucial because:
  • It serves as the username for the Client Portal
  • Login credentials are automatically sent to this email
  • Appointment reminders and communications go here
  • Invoice receipts and medical record summaries are emailed here
Always verify the email address is correct before saving!

Client Information to Collect:

  • First Name & Last Name (required)
  • Email Address (required - for portal access)
  • Phone Number (required - for appointment reminders)
  • Address (Street, City, State, ZIP)
  • Emergency Contact (optional but recommended)
  • Notes (any special instructions or preferences)

Client Portal Access

When you create a client record with an email address, VetSyCare automatically:

  1. Creates a Client Portal account for them
  2. Sends login credentials to their email
  3. Enables them to access their pets' records, book appointments, and message your clinic

Clients can access their portal at vetsycare.com/client-portal using their email and the password sent to them.

4. Managing Patients (Pets)

Adding a New Patient

After creating the client record, add their pet(s):

  1. Go to Patients from the menu
  2. Click "+ Add Patient"
  3. Select the Owner (the client you just created)
  4. Enter patient details:

Patient Information:

  • Name - Pet's name
  • Species - Dog, Cat, Bird, Rabbit, etc.
  • Breed - Specific breed
  • Date of Birth - For age calculation
  • Sex - Male/Female, Neutered/Spayed status
  • Weight - Current weight
  • Color/Markings - Physical description
  • Microchip Number - If applicable
  • Allergies - Important for treatment
  • Photo - Upload a picture for easy identification

5. Appointments & Scheduling

Creating an Appointment

  1. Go to Appointments
  2. Click "+ New Appointment" or click on a time slot in the calendar

Creating a Medical Record

During or after an appointment:

  1. Go to Medical Records or click "Start Exam" from the Flowboard
  2. Click "+ New Record"
  3. Select the Patient and Appointment
  4. Fill in the SOAP note:

SOAP Note Format:

  • S - Subjective: Owner's description of the problem, history, symptoms reported
  • O - Objective: Physical exam findings, vital signs, test results
    • Temperature, Heart Rate, Respiratory Rate
